PRICING & PRACTICAL GUIDES
A Closing-Night Costume Return Checklist
Closing night is busy enough without deciding how returns work while a pile of costumes grows. Set up a short reconciliation process before the final performance, with a named volunteer responsible for the outstanding list.
The goal is a record of every expected piece, its location, and its next step. A printed list or spreadsheet is enough to test this process.
Make accessories visible
An outfit is a useful grouping, but each detachable piece needs its own entry. A jacket, belt, hat, and scarf can come back at different times. Marking the whole outfit returned when only the jacket arrives hides the remaining work.
Record an item number, description, outfit or role, borrower, and expected return date. A reference photo helps distinguish similar pieces without relying on someone’s memory.
Use separate return states
| State | Meaning | Next action |
|---|---|---|
| Outstanding | Not received at the return point | Check with the borrower |
| Received | Physically handed back | Inspect and reconcile |
| Cleaning | Received but not storage-ready | Follow garment care instructions |
| Repair | Needs attention before reuse | Assign a repair owner |
| Stored | Ready and put away | Record the final location |
Cleaning is not missing. Keep those lists separate so follow-ups go to the right people. Do not assume an item is storage-ready just because it reached the costume room.
Reconcile at the handoff
- Identify the item and check it against the expected list.
- Record its arrival before assigning cleaning or repair work.
- Note missing accessories against their own entries.
- Put the item in a clearly marked holding area.
- Update its storage location when the final step is complete.
Leave one current list
Export or print outstanding items with a date and named owner. Keep the working record in one place so the next volunteer does not unknowingly follow an older copy.
Curtainback is a planned production-only return board, intended to support this process without a full stockroom catalogue. Share your theatre’s return workflow. We are testing $79/year per theatre; the service is not live yet. No payment is collected through the inquiry form.
