Keep Artwork Filenames and Application Details in the Same Order
Keep one master record for each work and create a separate export manifest for each application. The master describes the artwork; the manifest describes the files you plan to submit to a particular show.
Give the work a stable identifier A short internal ID such as W042 can link your original photograph to title, medium, dimensions and year. It need not appear in the submitted filename if the show requires a different convention. Keep the exact requested filename in a separate column.
An example manifest might contain slot 1, work W042, overall photograph, exported filename 01-entry.jpg, and the current title. For slot 2, explicitly record whether it is another work or a permitted detail image.
Make export folders disposable Create an application-specific folder containing copies. Apply the requested names only to those copies. If you revise the selection, regenerate or replace the pack as a whole so that an old image cannot remain in an unused slot.
Before upload, compare the file count with the manifest, open each image in order, and read the corresponding artwork description. After upload, repeat this check in the portal. Export order and portal display order may differ.
Save requirements with their source [ZAPP’s event-page guide](https://artist-help.zapplication.org/doc/event-information-page) describes event-specific prospectuses. Keep that source alongside your manifest and recheck it on the next application. A reusable profile should save typing, not freeze last year's rules.
A spreadsheet and a file manager can handle this process. The proposed JuryPack would automate duplicate-slot checks, file naming and matched-pack export. It is an interest concept, with no uploads or functioning checker available on this page.
