A Choir Score Copy-Shortfall Worksheet Before Rehearsal

A catalogue answers whether you own a title. Rehearsal planning needs a more specific answer: how many usable copies of the selected edition will be available when the choir starts work?

Identify the edition first

Record title, composer, arranger, publisher and an edition or catalogue identifier. Do not use the title alone as a match. Different arrangements can carry the same title while differing in voicing, pagination or musical content.

Keep separate stock rows for distinct editions. A note that two editions are compatible should come from the director's review, not a fuzzy title match.

Count usable and available copies

Start with physically counted copies. Separate damaged, missing or otherwise unavailable copies before subtracting any ensemble reservations that overlap the rehearsal period. Avoid subtracting the same missing copy twice.

For example, 30 usable copies with eight reserved elsewhere leave 22 available. A programme requiring 28 copies has a shortfall of six. Twelve copies of another edition do not automatically close that gap.

Turn shortfalls into a review list

Export only the rows where the requirement exceeds availability. Include the edition identifier, shortage, shelf location and a manually entered unit price if a purchase estimate is needed. Confirm availability and delivery with the supplier before treating the purchase as resolved.
