PRICING & PRACTICAL GUIDES
Reserve Exact Score Editions in a Shared Choir Library
When several ensembles use one score collection, the shelf count can be correct while the programme plan is wrong. The missing detail is often a reservation for a future rehearsal period.
Start with the existing catalogue
Export a CSV rather than retyping the library. Keep the current shelf identifier so a volunteer can find the physical packet. Add a stable edition key if the catalogue only records titles.
A small first trial needs just the pieces in the next programme. It does not require digitizing every score or uploading PDFs. A volunteer choir librarian's request for catalogue suggestions illustrates the broader organization problem, though it does not establish demand for this particular reservation feature.
Add ensemble-level reservations
Record ensemble, edition key, copy quantity, first-needed date and expected-return date. Use the rehearsal start date rather than the concert date: copies can be occupied for months before a performance.
If reservations overlap, total the quantities in use during that overlap. Sequential reservations do not need to be added together. To remain conservative when a return date is uncertain, keep the earlier reservation open until a volunteer confirms the return.
Show the reason for every shortfall
A useful warning names the exact edition, the requested quantity and the reservation consuming the stock. “Insufficient copies” alone creates more investigation. “Six short while eight copies are reserved for the chamber ensemble” makes the decision reviewable.
Options include confirming an earlier return, choosing another programme item or purchasing the correct edition. Do not automatically substitute another arrangement because its title matches.
Decide whether another tool is necessary
MusicLib's current plans include a free tier and a Pro plan at $9.99/month; its broader product supports checkout and reservations. A volunteer who needs those capabilities should evaluate the existing option before moving data to a new service.
ScoreReady is an early-access concept for a smaller CSV-to-shortfall worksheet at a proposed $39/year. Tell us whether a focused readiness check would be useful. No music hosting, licensing advice or individual borrower management is planned for the first version. No payment is collected through the inquiry form.
