Compare Engraving Roster Revisions Without Losing Plate Identity

By PlateDelta · · 2 min read

A revised roster can contain exactly the same names in a different order. Comparing spreadsheet row numbers can turn that harmless reorder into apparent changes on every plate. Start with an identity that survives sorting.

Assign the plate an ID

Give each physical award a stable ID such as A-014. Keep the recipient name in a separate field: a corrected name must not create a new identity. If an order has two awards for one person, each award still needs its own ID. Ask the customer to retain those IDs when editing the roster.

Compare the engraving fields

Keep an untouched copy of both files. Match rows by ID, then compare name, award, year and every other engraved field. Separate additions, removals and changed fields. Treat duplicate IDs and missing IDs as unresolved matches. Do not guess which of two similar names is the same award.

A trophy supplier’s ordering guide describes matching messages to trophies in a spreadsheet and a production cutoff after which changes may need replacement. This establishes why the version matters; it does not mean every shop needs separate software.

Review the exact wording

Show before and after text side by side, including punctuation and accented characters. A spelling change needs customer review even if software considers it a likely typo. Use PlateDelta, currently a proposed $29 one-time tool, only as an interest offer: it does not process files today.
